Overview
Machinr is a local-first app. Machine and plant data you enter — machines, maintenance logs, parts, bins & locations, distributors / suppliers, team members, receipts, notes, checklists, safety data sheets, and attached photos or documents — is stored on your device. Machinr does not require a Machinr account and does not operate its own cloud backend for your records. When iCloud Sync is turned off (including on the free plan), your data stays on this device unless you export or share it yourself. Optional Machinr Pro subscriptions are purchased through Apple.
Data stored on your device
Depending on how you use the app, Machinr may store: machine identity and dealer details; health schedules, assignees, and completions; hours and meters; warranties and manuals; checklists; maintenance log entries (including optional performed-by names); parts quantities, locations, hazardous flags, safety notes, and attached safety data sheets (SDS / MSDS); bins & locations; distributors / suppliers; team members; receipts and amounts; preference settings; subscription entitlement status from Apple; and photo or document attachments you add. If you delete Machinr from your device, locally stored Machinr data on that device is removed with the app.
iCloud Sync
iCloud Sync is available with Machinr Pro. If you enable it in Settings and are signed into iCloud, Machinr stores its data files and attachments in your Apple iCloud Documents container for Machinr so they can sync across your iPhone and iPad. Sync uses Apple’s iCloud service under your Apple ID. Machinr does not receive a copy of your data on a Machinr server. You can turn iCloud Sync off at any time. On the free plan, sync stays off and data remains on-device.
Camera, photos, and files
Machinr accesses the camera, photo library, or Files only when you choose to attach a photo or document. Attachments remain in Machinr’s on-device or iCloud Documents storage for the app. Machinr does not upload media to a Machinr server.
Address lookup
When you use Find address on a dealer or distributor form, Machinr uses Apple’s MapKit to suggest and resolve addresses. Search queries and place lookups are processed by Apple according to Apple’s privacy practices. Machinr stores only the address and contact fields you choose to save.
Notifications
If you enable notifications, Machinr schedules local notifications and may show an app icon badge for due or overdue items, warranty heads-up, and low-stock alerts. Notification content is generated on your device. Machinr does not use a push notification server operated by Machinr for these reminders.
Sharing, export, and backup
When you export a receipts PDF, machine packet, restock list, shelf label, QR tag, a full workshop backup ZIP, or use another share or print action, Machinr prepares the content on your device and passes it to the iOS share sheet, Mail, Files, or print tools under your control. Machinr does not send exported files anywhere unless you choose a destination.
Team members
If you use Team (Machinr Pro), names, roles, and notes you enter are stored with your Machinr data on device and, if iCloud Sync is on, in your iCloud Documents. Role permissions in the app are organisational soft limits on a shared device — they are not a substitute for device passcodes or account-based access control.
Subscriptions and payments
Machinr Pro is an optional auto-renewable subscription purchased through Apple’s App Store / StoreKit. Apple processes payment using your Apple ID. Machinr does not collect or store your payment card details. Manage or cancel subscriptions in iOS Settings → Apple ID → Subscriptions.
Analytics and tracking
Machinr does not include third-party analytics, advertising trackers, or telemetry that collects or transmits your usage data in the current version of the app.
